## How to Cancel
1. Go to **Settings > Billing**
2. Click **Manage Subscription**
3. Select **Cancel Subscription** and confirm
Your subscription stays active until the end of your current billing period.

## After Cancellation
* **Account** - your account remains active but you will not be able to purchase labels beyond the billing cycle
* **Wallet Balance** - funds remain available if you resubscribe
* **Shipping History** - past shipments stay in your account
* **Account Deletion** - inactive accounts are deleted after 6 months; you can also contact us to delete your account at any time

Add funds manually:
1. Go to **Billing > Add Funds**
2. Select **One-Time Funding**

Card payments appear instantly. Bank transfers take 3-5 business days.

* The top-up amount must exceed your current balance
* You cannot fund while a bank transfer is pending
* Wait at least 5 minutes before retrying a failed payment

SimpliSent offers shipping insurance through EasyPost at a flat **1% of declared value**, up to \$5,000 per shipment. Coverage works with all carriers (USPS, UPS, FedEx) and applies to both domestic and international shipments.

2. Check the **insurance box** during label creation
3. The cost (1% of declared value) is added to your label total
4. Coverage applies instantly once the label is purchased
Always declare the full replacement value of your items, not the sale price or depreciated value.

## Filing a Claim
Insurance claims are processed by EasyPost, our shipping infrastructure partner.

2. **Submit your claim** through the [EasyPost claims portal](https://app.easypost.com/claim-form)
3. **Provide claim details**: tracking number, claim type (lost/damaged/stolen), package value, incident description, and contact information
4. **Upload your documentation** as attachments
5. **Submit and track**: you'll receive a confirmation with a claim number and updates via email from EasyPost
### Processing Timeline
* **Initial review**: 1-2 business days
* **Investigation**: 5-10 business days
* **Decision**: typically within 30 days
* **Payout**: 7-10 business days after approval
### Claim Payouts
EasyPost issues payouts via:
* Direct deposit (bank transfer)
* Check (mailed to your address)
* Credit card refund (if applicable)
### Denied Claims

### Address Validation
Verifying a shipping address for accuracy and deliverability before creating a label.
### Carrier
A shipping company (USPS, UPS, or FedEx) that provides delivery services.
### Combo-Only Parcel
A parcel size that is only used when shipping multiple items together, never for a single product. Configured during order-based rate setup.
### Commercial Invoice
Document required for international shipments declaring the value, contents, and origin of goods.
### Declared Value
The stated value of a shipment, used for insurance and customs purposes.
### Delivery Confirmation
Proof of delivery from the carrier, often including a signature and timestamp.
### Delivery Profile
A Shopify configuration that defines shipping rates for your store. SimpliSent creates a delivery profile called "SimpliSent Shipping" when you sync order-based rates.
### Dimensional Weight
A pricing method based on package dimensions rather than actual weight.
### Fallback Rate
A default flat shipping rate shown to customers when no calculated order-based rate matches their order (e.g., an unassigned product or unexpected cart combination).
### Fulfillment
The process of picking, packing, and shipping a customer order.
### Hazmat (Limited Quantity)
Hazardous materials shipped under the Limited Quantity shipping code. SimpliSent supports Limited Quantity hazmat only, via USPS Ground Advantage.
### HS Code
Harmonized System code used for international trade classification and customs duties.
### Incoterms
International commercial terms that define who pays duties and taxes. SimpliSent supports DAP (recipient pays) and DDP (shipper prepays).
### Insurance
Protection against loss or damage to shipped goods. SimpliSent offers insurance at 1% of declared value through EasyPost.
### Label
A purchased shipping label with routing, tracking, barcodes, and delivery information.
### Order-Based Rate
A shipping rate calculated from the products in a customer's cart, the parcel they ship in, and the destination. SimpliSent uses order-based rates to give each order an accurate price at checkout.
### Origin Country
Where goods were manufactured or sourced. Required for customs documentation.
### Pickup
A scheduled carrier collection of packages from your location.
### Rate
The calculated price for a shipment based on service type, weight, dimensions, and destination.
### Return Label
A prepaid shipping label for a customer to return items to the seller.
### SCAN Form
A shipment manifest that groups multiple shipping labels into a single barcode. When the carrier scans the form, all included packages are accepted at once.
### Service
A specific carrier offering, such as UPS Ground, FedEx 2Day, or USPS Priority Mail.
### Ship Date
The date a shipment is scheduled to leave the facility.
### Shipping Category
A group of products that ship in the same parcel size. You assign products to categories during order-based rate setup.
### Tracking
Status updates describing a shipment's movement from origin to delivery.
### Transit Time
How long a shipment takes to travel from origin to destination.
### Void
Canceling a shipping label before it has been used, typically resulting in a wallet refund.
### Wallet
A prepaid balance in your SimpliSent account used to purchase shipping labels, insurance, and other services. Funded via credit card or bank transfer.
### Zone
A geographic area used by carriers to determine shipping rates and transit times. USPS uses zones 1-9 based on distance from the origin ZIP.
# Create International Orders

Create orders for international shipments with customs information
International orders work like domestic orders, with the added requirement of customs information for each item.

### 1. Enter Recipient Details
* Go to **Orders > New Order**
* Enter the recipient's full address, including country, postal code, and phone number (required by most carriers)
* Add an order number and any reference tags
### 2. Add Shipment Items
For each item, provide:
* Product name, quantity, and weight
* Customs value (replacement cost)
* [HS Tariff Code](/compliance/shipping-terms#hs-code) (recommended; required for some destinations)
* Country of origin
### 3. Provide Shipment Customs Information
* **Content type** - merchandise, documents, gift, sample, or returned goods
* **Non-delivery option** - return to sender or abandon

When creating an international shipping label, you must provide shipment-level customs data. This ensures your package clears customs smoothly.

## Required Fields
### Content Type
What you are shipping:
* **Merchandise** - items sold to a customer
* **Documents** - letters, contracts, or paperwork
* **Gift** - non-commercial shipment
* **Sample** - item sent for testing or review
* **Returned Goods** - goods being sent back to the country of origin
### Non-Delivery Option
What happens if the package cannot be delivered:
* **Return to Sender** - package is shipped back (you may incur return costs)
* **Abandon** - package is disposed of at destination customs
If you select **Abandon**, you will not get the package back or receive a refund.
### Incoterms
Who pays duties and taxes:
* **DAP (Delivered at Place)** - recipient pays duties/taxes on delivery (default)
* **DDP (Delivered Duty Paid)** - you prepay duties/taxes so the recipient pays nothing at delivery
Use **DDP** for a smoother customer experience, especially for high-value orders.
### Duties Payer
* **Sender** - duties are prepaid
* **Recipient** - duties are collected on delivery

Depending on the shipment, customs may also require:
* **Declared value** - replacement value of the goods

Customs data is submitted to the carrier when the label is created. For USPS, customs forms are included in the label PDF. Get up and running with SimpliSent in minutes
## 1. Create Your Account
1. Go to [SimpliSent](https://simplisent.com) and click **Sign Up**
2. Fill out the form and click **Create Account**
3. Check your inbox for a verification email and confirm your account

## 2. Connect Your Shopify Store
During onboarding, you'll be prompted to connect your Shopify store. Enter your store URL and grant the required permissions. Orders and products are imported automatically once connected.

## 3. Set Up Order-Based Rates
Make sure all your Shopify products have a weight set before proceeding. Products without a weight cannot be used for rate calculations.
1. Go to the **Shipping Setup** page from your dashboard
2. Add the box sizes you ship with
3. Drag and drop your Shopify products into parcel categories
4. Click **Calculate Rates**, then **Add Rates to Shopify**

## 4. Fund Your Wallet
1. Go to **Settings > Billing > Wallet** and add a credit card or bank account
2. Add funds to your wallet (label purchases are deducted from your balance)
3. Optionally, set up auto-reload so your wallet stays funded

## 5. Create Your First Label
1. Go to the **Orders** tab and select a Shopify order (or create a manual order)
2. Click **Create Label**, choose a carrier and service, and purchase with your wallet funds
3. Download the PDF label, attach it to your package, and schedule a pickup or drop it off

How SimpliSent connects to your Shopify store and what gets imported
## How to Connect
Your Shopify store is connected during the SimpliSent onboarding flow when you first create your account. You'll enter your store URL and grant the required permissions as part of signup.
If your store becomes disconnected, you can reconnect from **Settings > Integrations**.
Once connected, your orders and products are imported automatically.

## What Gets Imported
### Orders
Shopify orders appear in SimpliSent as they are placed. Each order includes:
* Customer name, shipping address, phone, and email
* Products, quantities, weights, and declared values
* Tags applied in Shopify
Orders appear in the **Orders** tab where you can create labels, apply tags, track status, and use bulk tools.
### Products
Product titles, variants, and weights are imported so you can assign them to parcel sizes during [order-based rate setup](/shipping-rates/setting-up-shipping-rates).
All products must have a weight set in Shopify. Products without a weight cannot be used for rate calculations or accurate label pricing.

## Manually Syncing
Orders and products import automatically, but if you need new data immediately:
* **Sync Orders** - pull the latest orders from Shopify now
* **Sync Products** - pull the latest product data now
Both options are available from the Shopify store card on your dashboard.

## Managing the Integration
From the Shopify store card on your dashboard:
* **Disconnect** - remove the Shopify connection
* **Reconnect** - re-link a disconnected store from **Settings > Integrations**

## Troubleshooting
* **Connection failures** - make sure your store URL is correct and includes `.myshopify.com`

## Adding Orders
### From Shopify
Once your Shopify store is connected, orders are imported automatically as they are placed. See [Connect Shopify](/getting-started/shopify) for setup.
### Manual Creation
1. Go to the **Orders** page and click **New Order**
2. Enter the customer's name, shipping address, phone, and email
3. Add products with quantities, weights, and values
4. Save the order
Manual orders are useful for offline sales, wholesale, or phone orders.

* **Create Label** - generate a shipping label from the order
* **Update Tags** - organize orders by urgency, type, or campaign
* **Delete Order** - permanently remove an order
### Bulk Tools
Select multiple orders using the checkboxes to create labels in batches, apply tags, or delete in bulk.

## Fulfilling an Order
1. Go to the **Orders** tab and select the order
2. Review the order details (address, products, weight)
3. Click **Create Label**
4. Choose a carrier, service level, and parcel size
5. Confirm the rate and purchase the label
6. Print the label and attach it to the package
7. Schedule a [pickup](/pickups/scheduling-pickups) or drop the package at a carrier location
Once the carrier scans the package, the order moves from **Processing** to **Shipped** and tracking updates appear in the order details. If your Shopify store is connected, [fulfillment](/compliance/shipping-terms#fulfillment) status syncs back automatically.

## How to Create a Label
1. **Enter shipment details**
* **From address** - defaults from your account settings; you can select any saved address
* **To address** - recipient's full details (name, street, city, state, ZIP, phone)
2. **Select package type**
* Use custom dimensions (L x W x H + weight)
* Choose carrier-provided packaging (e.g., USPS Priority Mail boxes)
* Or select from your [saved parcel sizes](/saved/saved-parcels)
3. **Choose a shipping service**
* Compare USPS, UPS, and FedEx rates side by side
* Review delivery times and pricing
* Add [insurance](/compliance/shipping-insurance), [delivery confirmation](/compliance/shipping-terms#delivery-confirmation), or signature requirements if needed
4. **Purchase the label**
* Review the shipment details and cost breakdown
* Purchase with one click using wallet funds
* A tracking number is assigned immediately
5. **Print and ship**
* Download the PDF label
* Attach it securely to the package (remove or cover old labels)
* Schedule a [pickup](/pickups/scheduling-pickups) or drop off at a carrier location

## Label Statuses

From the **Labels** page you can:
* Search and filter by tracking number, status, or recipient
* Sort by creation date, carrier, or delivery status

* View carrier, tracking, and timestamp details

## Troubleshooting
**Address validation errors** - verify that city, state, and ZIP match; some carriers restrict PO Box delivery
**Rate issues** - not all services are available in every ZIP code; weekend or special delivery may have limited availability
**Printing problems** - set your printer to "Actual Size" (100%); labels can be re-downloaded anytime from the Labels page

# Tracking International Shipments

International shipments involve more steps than domestic deliveries. Tracking updates may look different depending on the carrier and destination country.

* **Tracking numbers** - every international label includes a tracking number valid across borders
* **Customs checkpoints** - shipments show additional scans when entering or exiting customs, which can add 1-5 days
* **Delivery partners** - some carriers (e.g., USPS) hand off to local postal services in the destination country; tracking may switch to the local system

# Void a Shipping Label

Cancel unused shipping labels and get refunded to your wallet
## What Voiding Does
* Cancels the shipping transaction
* Invalidates the tracking number
* Requests a refund from the carrier (if eligible)
* Refunds the amount to your wallet

## Eligibility
A label can be voided if it has not been scanned by the carrier. The carrier may still reject the refund if the label is no longer eligible.
Once a label has been scanned by the carrier, it cannot be voided.

## How to Void
1. Go to **Labels** in the sidebar
2. Find the label you want to void
3. Click the **three dots** under Actions
4. Select **Void Label**
5. Review the eligibility message and confirm
If the label is not eligible, you'll see a message explaining why.

## Refunds
* All refunds go to your **wallet**
* Typically processed within minutes, but can take up to 24 hours
* Wallet funds can be used for future label purchases
***
## Tips
* Void unused labels as soon as you know they won't be used
* Double-check addresses and package details before purchasing to avoid unnecessary voids
* On busy shipping days, review your Labels list at end of day for unused labels
***

# Pickups

Schedule, manage, and cancel carrier pickups in SimpliSent
Pickups are currently supported for **USPS** and **FedEx**. UPS pickups are not supported at this time.
## Starting a Pickup
1. Go to the **Orders** page
2. Select the orders you want picked up using the checkboxes
3. Click the **three dots** menu
4. Select **Create New Pickup**
This opens the pickup form where you configure the details.

## Pickup Form
1. **Enter the pickup address** — select a saved address or enter a new one
2. **Choose a pickup date** — select the date for carrier collection
3. **Set a time window** — set the earliest and latest pickup times
4. **Add instructions** — provide details to help the driver find your packages (required)
5. **Set a reference** (optional) — add a name or code to identify this pickup
6. **Get Rates** — click **Get Rates** to see available carrier pickup options and costs
7. **Select a rate** — choose a carrier rate from the available options to confirm and schedule the pickup
You must have purchased labels for the selected orders before scheduling a pickup. All selected orders must use the **same carrier** — you cannot mix shipments from different carriers in a single pickup.

## Managing Pickups
From the **Pickups** card on your dashboard, you can view and cancel your scheduled pickups.
### Canceling a Pickup
Click the **X** button next to any scheduled pickup to cancel it. You will be asked to confirm before the pickup is canceled.

* Instructions are required — provide clear details like "loading dock at rear of building" or "ring doorbell, packages by front door"
* Schedule in advance when possible to ensure availability

A SCAN Form (Shipment Manifest) is a USPS product that groups multiple shipping labels into a single barcode. When USPS scans the form, all included packages are accepted at once.

## How It Works
A SCAN Form is automatically generated when you schedule a USPS pickup. There is no separate step to create one.
1. Select orders with purchased USPS labels from the **Orders** page
2. Click **Schedule Pickup** and complete the pickup form
3. Choose a USPS rate and confirm the pickup
4. A SCAN Form is generated automatically for the batch of labels
5. Once ready, download the PDF from the pickup confirmation screen or from **Manage Pickups**
SCAN Form generation may take a moment. If the PDF isn't available immediately, it will appear in **Manage Pickups** on your dashboard shortly after.

## Downloading a SCAN Form
* **After scheduling**: If the form is ready, a **Download Scan Form** button appears on the confirmation screen.
* **Later**: Open the **Pickups** card on your dashboard, click to manage pickups, and download the form from any pickup that has one available.

## How to Create a Return Label
### During Label Creation
1. Create a new shipping label as usual
2. Check the **Create Return Label** box
3. A return label is automatically generated with the same carrier and service level
### From an Existing Order or Label
1. Go to the **Orders** or **Labels** page
2. Find the shipment and click the **three dots** in the Actions column
3. Select **Create Return Label**
You can also open any order or label detail page and click **Create Return Label** directly.
Return labels always use the **same carrier and service class** as the original shipment.

## Fulfilling a Return
1. Download the return label PDF from the order or label details
2. Send it to the customer via email
3. Once the customer ships the package, tracking updates appear in the order's **Returns** section

## Managing Return Labels
Return labels appear alongside the original shipment in your **Labels** and **Orders** pages. You can track their status, view costs, and [void](/compliance/shipping-terms#void) unused return labels just like any other label.
SimpliSent does not currently support international return labels. Customers outside the U.S. will need to arrange their own return shipping. You can provide your domestic return address or offer a refund without return for low-value items.
# Saved Addresses

SimpliSent creates:
* A **"SimpliSent Shipping" [delivery profile](/compliance/shipping-terms#delivery-profile)** with state-based zones covering the entire US
* **Rate filtering** that displays the correct rate at checkout based on the customer's cart and location
You don't need to configure anything in Shopify manually.

## What Customers See
After syncing, customers at checkout see a shipping option like:
> **Standard Shipping (3-5 business days)** - \$8.45
The rate is selected based on the products in the cart, the customer's ZIP code ([USPS zone](/compliance/shipping-terms#zone)), and the total package weight.

## Re-Syncing Rates
Re-sync when:
* You've regenerated rates after changing parcels or product mappings
* You've updated [advanced options](/shipping-rates/advanced-shipping-options)
* The dashboard shows a banner indicating unsynced changes
Click **Add Rates to Shopify** again from the dashboard.

## Removing Rates from Shopify
1. Open the **dropdown menu** on the shipping setup dashboard
2. Select **Delete Rates**
3. Confirm the removal
This removes the SimpliSent delivery profile and any associated rate-filtering configuration from Shopify.
Make sure you have alternative shipping settings in Shopify before removing SimpliSent rates, or customers won't see shipping options at checkout.

Rates refresh automatically on a weekly schedule to stay current with USPS pricing. You can also regenerate manually from the [rates dashboard](/shipping-rates/managing-shipping-rates).
# Advanced Shipping Options

## Fallback Rate
A [fallback rate](/compliance/shipping-terms#fallback-rate) is used when no calculated rate matches a customer's order (e.g., an unassigned product or unexpected cart combination).

Cap the shipping price shown to customers. If a calculated rate exceeds this amount, the max price is shown instead.

## Syncing Changes
After updating advanced options, click **Add Rates to Shopify** to push the changes to your store.
Changes won't appear at checkout until you re-sync to Shopify.
# Managing Order-Based Rates

## Dashboard
After setup, the rates dashboard shows:
* How many rates are synced and when they were last updated
* Options to re-enter setup, regenerate, view the rates map, or sync/remove rates

## When to Regenerate
Regenerate your rates when:
* You've added or changed parcel sizes
* You've added new products that need category assignments
* You've changed your origin address (affects zone calculations)
* You've modified category limits (max items per parcel)
* USPS pricing has changed (rates auto-refresh weekly, but you can trigger it manually)
Click **Enter Setup** to walk through the wizard again, or trigger a recalculation from the dashboard.

## Unassigned Products
If new products have been imported from Shopify but aren't assigned to a shipping category, you'll see a warning. These products won't have accurate rates at checkout.
To fix this:
1. Click **Enter Setup**
2. Go to **Step 2: Categorize Products**
3. Drag unassigned products into the correct parcel category
4. Complete the wizard and regenerate rates

## Rates Map
The rates map is a visual heatmap showing calculated rates across parcel sizes and USPS zones. Use it to:
* Review average, minimum, and maximum rates for each parcel-zone combination
* Filter by weight range
* Spot unexpectedly high or low rates
Access it from the dropdown menu on the dashboard.

## Automatic Refresh
SimpliSent recalculates rates every **Sunday at 2:00 AM** to stay aligned with USPS pricing. After a refresh, you'll see a banner if new rates are available to sync.

## What Are Order-Based Rates?
Order-based rates are shipping prices calculated from the products in a customer's cart, the parcel they ship in, and the destination. Instead of flat-rate or weight-only pricing, each order gets a rate based on what was actually ordered and where it's going.
SimpliSent calculates these rates using USPS pricing across all your parcel sizes, [USPS zones](/compliance/shipping-terms#zone), and weight tiers, then syncs them to your Shopify checkout. This works on any Shopify plan.

Tell SimpliSent what box sizes you ship with and which products go in each box.
SimpliSent determines the USPS zone for every US destination and calculates the exact shipping cost for every parcel-zone-weight combination.
With one click, rates are pushed to your Shopify store as a [delivery profile](/compliance/shipping-terms#delivery-profile).
At checkout, SimpliSent selects the correct rate based on what's in the cart and where it's going.

## Before You Start
Make sure you have:
* A **connected Shopify store** ([Connect Shopify](/getting-started/shopify))
* **Products imported** from your store (products import automatically once Shopify is connected)
* **Product weights set in Shopify** for every product (required for rate calculations)
Navigate to the **Shipping Setup** page from your dashboard. If this is your first time, click **Start Setup** to begin.

Enter every box size you use to ship orders. For each parcel, provide:
* **Name** - a recognizable label (e.g., "Small Box", "12x9x4 Mailer")
* **Dimensions** - Length x Width x Height in inches
Measure the **exterior** dimensions of your boxes. Carriers rate based on outside measurements.
Click **Next** to continue. SimpliSent will automatically create [shipping categories](/compliance/shipping-terms#shipping-category) from your parcels.

## Step 2: Categorize Products
Use the **drag-and-drop** interface to assign your Shopify products to parcel categories.
* **Left panel** - unassigned products (from Shopify), grouped by weight
* **Right panel** - drop zones for each parcel category
Drag each product into the smallest parcel it can ship in.
### Combo-Only Parcels
If a parcel size is only used when shipping multiple items together (never for a single product), check the **[Combo only](/compliance/shipping-terms#combo-only-parcel)** box on that category.
Every product must be assigned to a category. Unassigned products won't have accurate rates at checkout.

## Step 3: Set Category Limits
For each category, set the **Max Items** - the maximum number of products that fit in that parcel size. This controls bin-packing at checkout when a customer orders multiple items.

## Calculate Rates
After completing all three steps, click **Calculate Rates**. SimpliSent will:
1. Discover USPS zones for every US destination from your origin ZIP
2. Calculate the exact USPS cost for every parcel-zone-weight combination
3. Save all calculated rates for syncing to Shopify
You'll see a progress screen with an estimated time remaining. Calculation typically takes a few minutes depending on how many parcel sizes you've defined.

## What's Next
Once complete, review your rates and sync them to Shopify.
Push your calculated rates to your Shopify checkout.
